How to Manage Cycles with On Leave Employees

This article describes how System Administrators can configure custom participation for employees in an On Leave status

Participant snapshots for cycles can include employees who are on leave - and that’s completely ok!

When you search for an on-leave employee's name in the Participants tab of the cycle in Cycle Administration, you can click on the box beside their name and click the "Edit participants" button to bring up a list of checkboxes for all the available participation activities that the cycle offers (based on the cycle settings):

Let’s discover how to manage the cycle participation of employees whose Status is "On Leave" in some common scenarios:

No Participation, Will Receive Review

If an employee will not be contributing in the cycle themselves, but will still need to receive a review, this is still a form of participation! Please ensure that every checkbox is unchecked, except for the final 2 boxes:

Limited Participation, Will Receive Review

If an employee will need to contribute limited feedback during a cycle and will also receive a review, then be sure to uncheck only the phases the employee will not need to complete. In this example, the employee will receive an evaluation and rating from their manager, but will not receive or provide peer reviews:

Will Not Participate At All, No Review

If an employee will neither provide nor receive feedback during the cycle, then the employee is said to be “not participating.” Please simply ensure that every checkbox is unchecked.

Click the blue "Save" button, and the on-leave employee's custom participation is configured!
